TRUST FUNDING ASSISTANCE SYSTEM™
Step 4: SUBMIT
Follow confirmed instructions and document what was sent.
Once appropriate direction is established, support preparation and submission of the required materials.
The client or authorized person must provide the necessary approvals and signatures.
If the effect of a proposed change remains unclear, pause that action and obtain appropriate guidance.
BEFORE YOU SUBMIT
Before sending anything, confirm:
- You are using the correct form or instructions.
- The information on the form is complete and accurate.
- You understand where and how it must be submitted.
- You have included any required supporting documentation.
- You have made a copy for the approved client file.
- The client or authorized person has provided all required approvals and signatures.
You should have a copy of the submitted materials, evidence of submission where available, and a clear follow-up plan.
Keep copies of submitted materials. Record the submission date, method, recipient, reference or tracking number, and follow-up date on the dashboard or applicable tracker.
Use the institution's approved submission method and Claim My Legacy's approved handling procedures.
Help the client identify any unanswered questions before signing or submission. If the legal, tax, or financial effect remains unclear, pause the action and obtain appropriate professional guidance.
WHAT YOU MAY SUBMIT
Depending on the results of REVIEW and REQUEST, this may include:
- Ownership or registration forms
- Beneficiary designation forms
- Trust certification or certification-of-trust documents
- Institution-specific trust forms
- Supporting documentation requested by the institution
- Other forms or information identified during the REQUEST step
Only submit items that have been identified as appropriate for that particular asset or account.
HOW TO SUBMIT
Follow the submission instructions you confirmed during the REQUEST step.
Depending on the institution, you may be asked to submit documents:
• Through a secure online portal
• By an email method specifically authorized by the institution
• By mail
• By fax
• In person at a branch or office
• Through another method specified by the institution
Use only the submission method provided or confirmed by the institution.
If you are mailing original or certified documents, confirm whether they will be returned and consider using a trackable delivery method.
KEEP PROOF OF EVERYTHING YOU SUBMIT
Before sending anything, make a complete copy for the approved client files.
Record the date submitted, the method used, where it was sent, and any confirmation or tracking number you receive.
Submitted does not mean completed.
You will confirm the result during the VERIFY step.
Practice: Maria and James
For this exercise, assume the appropriate direction and client authorization have now been obtained.
Prepare a fictional submission checklist and record what would be sent, when, and by which confirmed
method. Do not send real materials.
Mark the action as awaiting confirmation. Submission alone does not establish completion.
