Follow the six stages

We pride ourselves on our adaptability and commitment to excellence in every aspect of our service. Explore what we have to offer and how we can contribute to your success.

DISCOVER → REVIEW → REQUEST → SUBMIT → VERIFY → COMPLETE

1. DISCOVER — Gather records and build the Master Asset Inventory™.

2. REVIEW — Separate confirmed information from unanswered questions and identify the appropriate
next step.

3. REQUEST — Obtain current information, forms, and submission requirements. Use the Trust Funding
Request Tracker™.

4. SUBMIT — Help follow confirmed instructions, obtain required approvals and signatures, and record the
submission.

5. VERIFY — Check the response and retain evidence of what was completed.

6. COMPLETE — Update the Master Dashboard and organize the completed work and outstanding items.

Choose correspondence by purpose

Use the correspondence library when an information request, follow-up, or confirmation is needed. Check the template against the institution's current requirements before using it.

Use Which Letter Do I Use?™ to help locate the relevant template. A template supports an
administrative task; it does not determine whether a legal, tax, or planning change is appropriate.

Keep working records organized

Use a separate folder for each active asset or account. Within it, keep:

• 01 - REQUIREMENTS: Instructions, forms, and required-document information.
• 02 - WORKING: Drafts and items still being prepared.
• 03 - SUBMITTED: Copies of what was sent and submission evidence.
• 04 - VERIFIED: Confirmations and supporting records of the result.

Keep the Master Dashboard updated so the next action remains visible. Use approved storage and information-handling procedures.
